Absence Management - How to Call Out

 

Employees are expected to follow their regular work schedules. If an absence is necessary, employees must report the absence using the appropriate leave time and provide adequate notice to their supervisor in accordance with the call-out procedures established for their employee classification. Employees may only use leave time that has been allotted to them under their respective employee agreements.

 

Teachers, Counselors, Social Workers, CSNs, Instructional Assistants, Personal Care Assistants, Interventionist Assistants, School Aides, Nurse Assistants, Registered Nurses and Licensed Practical Nurses: The Bensalem Township School District utilizes Aesop, an electronic call-out system, for designated staff categories. This system is managed by ESS (formerly Source4Teachers). Unless otherwise directed by Human Resources, all absences must be reported through this system. Nurses must also follow the call-out procedures established by the Nursing Department.

 

When entering an absence, please ensure that the “Substitute Needed” option is selected so the system can notify available substitutes. The “Substitute Not Needed” option should only be selected in limited circumstances (e.g., counselors, social workers). The system allows substitutes to view available absences and accept assignments for which they are qualified.

Secretaries and Administrators (all Act 93): Contact your respective supervisor and Human Resources (Ext. 4006) to report an absence. Please note that vacation and personal time must be pre-planned and approved in advance by your supervisor.

 

Custodial/Maintenance: Absences should be reported as early as possible, but no later than one (1) hour prior to the regular reporting time. The call-out number is (215) 750-2800, Ext. 4300.
 
Food Services: When calling out on the day you are scheduled to work, you must contact your head cook. If you are unable to reach your head cook, you must notify the District Office. All Food Service employees must call by 7:00 a.m., unless scheduled to report before 7:00 a.m.; in that case, at least one (1) hour of advance notice is required.
 
Transportation: Absences should be reported as early as possible, but no later than one (1) hour prior to the regular reporting time. The call-out number is (215) 750-2820.
